The published prices, side by side

Entry prices as published on the dates noted. Every one of these is a starting point rather than a quote, and every one has something attached to it that the monthly number does not show.

  • QBR Studio: flat monthly, unlimited clients, no setup fee, month to month. We quote per MSP rather than publishing a rate card, so unlike every other row on this table there is no number here. Ask us and you get one in the first conversation.
  • CloudRadial: Starter Suite $145 per month plus a $145 setup fee, metered on portal users, on an annual commitment. Read September 8, 2026.
  • vCIOToolbox: QBR module from $149 per month including five active clients. RampCamp onboarding is $2,997 one time and optional. Read September 8, 2026.
  • ScalePad Lifecycle Manager: $10 per managed client per month on Pro, $25 on X, both with a $250 monthly minimum, on a 12-month term. Read September 8, 2026.
  • BrightGauge, now ConnectWise Reports and Dashboards: from $335 per month with two data sources, $98 per month per additional source, plus a $499 one-time implementation fee. Reviewed July 2026 and not re-verifiable on September 8, 2026.

The billing unit is the whole comparison

Two tools at the same sticker price can differ by a factor of five at forty clients, because they meter different things. Find the unit before you compare the number.

  • Per managed client, as ScalePad meters: your bill rises every time you win a deal, permanently, before that client has paid you. Model it at the client count you expect in two years, not today's.
  • Per active client, as vCIOToolbox's bundle meters: closer to how the work is really done, since not every client gets a formal review, but get the rate above the bundled five in writing.
  • Per portal user, as CloudRadial meters: partly under your control because you choose who to enable, and it punishes a few large clients more than many small ones.
  • Per data source, as BrightGauge meters: a normal MSP stack is five sources, not two, so the allowance decides the bill.
  • Flat, as QBR Studio meters: the price does not move when you grow, and the tier differences are data sources and features rather than client count.

The four costs that are never in the monthly figure

Ask about all four on every call. Each of them has changed a first-year total in this category by more than the price difference between two vendors.

  • Setup or implementation fees: CloudRadial charges one month at signup on every tier, and BrightGauge's July 2026 figure was a one-time $499.
  • Contract term: CloudRadial suites are an annual commitment and ScalePad requires 12 months. A tool you abandon in month four is still paid for through month twelve.
  • Onboarding programmes sold separately: vCIOToolbox's RampCamp is $2,997 and is genuinely valuable to some MSPs and redundant to others.
  • Metered growth: the per-client and per-source models keep charging you for succeeding. That is the cost most business cases underestimate.

How to run the comparison properly

Five questions, applied to every candidate including us. They are the questions that separate a tool you still use in a year from a line item you cancel.

  • Price it at the client count you expect in 24 months, not the one you have. That single step reorders most shortlists.
  • Ask for the total first-year cost in writing: licence, setup, onboarding, and every source or seat you will actually connect.
  • Time how long it takes to produce one real client's review on real data, not sample data, during a trial.
  • Ask for a raw XLSX or CSV export of the tickets and assets behind a report, on the plan you would actually buy.
  • Check whose logo, name and share-link chrome the client sees on that same plan, not on the enterprise tier in the screenshot.

Where QBR Studio sits, stated plainly

We build one of these tools, so read this section accordingly, including the fact that we do not publish our own price on a page about prices. We quote per MSP. What we will commit to in writing is the model: flat monthly, unlimited clients, no setup fee, month-to-month, and tiers that differ by data sources and features rather than by client count. It is a narrow product: client-ready reviews, a commitment ledger that carries decisions across quarters, zero-login client pages, and raw data export on every plan. It is not a portal, not a wallboard, and not a compliance platform. Where one of those is what you need, one of the vendors above is the better purchase and the pages here say so.

Which of these is cheapest for an MSP?

On published entry prices as of September 8, 2026: CloudRadial Starter is $145 per month plus a $145 setup fee, vCIOToolbox starts at $149 for five active clients, and ScalePad's $250 monthly minimum is the floor on its per-client model. The cheapest tool at ten clients is often not the cheapest at fifty, because the per-client models keep climbing, so run the arithmetic at your two-year client count rather than today's.

Which vendors do not publish pricing?

myITprocess, which is sold through IT Glue and Kaseya, and Strategy Overview both route pricing enquiries through a demo request. ConnectWise publishes Reports and Dashboards pricing but not PSA seat pricing. QBR Studio does not publish one either, and it would be dishonest to leave ourselves off this list. Where there is no public figure we do not invent one, including our own.

Why does per-client pricing matter so much?

Because it charges you more every time you succeed, and the increase is permanent. At $10 per client, going from 25 to 50 clients takes the line from $250 to $500 per month. At $25 per client it goes from $625 to $1,250. A flat price does not move. That single mechanic is the largest cost difference in this category.

Do any of these have a free tier?

Two of them publish one. ScalePad Lifecycle Manager offers one client free forever, and vCIOToolbox offers a 15-day trial with no card. Whichever you take, use it on real client data: a trial on sample data tells you about the demo rather than about the tool.

How current are these figures?

CloudRadial, ScalePad and vCIOToolbox were read from their own pricing pages on September 8, 2026. The BrightGauge figures are from our July 2026 review and could not be re-verified on that date because connectwise.com refused automated fetches. Vendor pricing moves, so confirm any figure before you build a business case on it.
