Straight arithmetic on the published rates. Nothing here is a projection, it is the rate card multiplied out.

  • 10 clients on Pro: the $250 minimum applies, so $250 per month, or $3,000 committed for the year.
  • 25 clients on Pro: still $250 per month at the minimum boundary, which is the best value point on the card.
  • 40 clients on Pro: $400 per month, or $4,800 for the year.
  • 40 clients where 10 need QBRs on X: $300 for the 30 Pro clients plus the $250 X minimum, so $550 per month.
  • 40 clients all on X: $1,000 per month, or $12,000 for the year.

The growth penalty, stated plainly

Per-client pricing is not a trick, it is a legitimate model that aligns a vendor's revenue with an MSP's account count. It is worth naming what it does to you anyway. Every client you win raises this line item before that client has paid you anything, and the increase is permanent. If you plan to go from 25 to 50 clients over two years, model the tool at 50, not 25, and compare that number against flat-priced options. On Pro that is $500 per month against $250 today. On X it is $1,250 against $625.

What the 12-month term means in practice

A twelve-month term is normal in this market and ScalePad is upfront about it. The consequence to plan for is that a tool you stop using in month four is still a tool you pay for through month twelve. That is the single strongest argument for trialling a reporting tool on real client data, not sample data, before you commit. It is also why month-to-month alternatives are worth their price difference to some MSPs even when the sticker is similar.

Where Lifecycle Manager genuinely earns it

Asset lifecycle is what this product is best at, and it is better at it than we are. Warranty enrichment, hardware age grading, and refresh planning across a fleet are the core of the product and they work. If asset lifecycle is your problem and QBRs are a side effect, Lifecycle Manager is a reasonable purchase and the price is defensible. If it is the other way round, and the review meeting is the thing you cannot get done, you are paying a per-client rate for a capability you use once a quarter.

How QBR Studio prices against it

QBR Studio charges a flat monthly price that does not move with your client count, and we quote it per MSP rather than publishing a rate card. That is a deliberate asymmetry on a page like this one and worth naming: the vendor figures above are theirs and published, ours is not. The structural difference is the one that matters here: a flat price does not move when you win a client, and a per-client price does. At 25 clients the two models are close. At 50 they are not, and the gap keeps widening. The honest tradeoff is that QBR Studio does not do fleet-wide warranty enrichment at ScalePad's depth: it reads asset age and warranty from your PSA and budgets a refresh, which is enough for a quarterly review and short of a lifecycle programme.
